Manage Learners In The Admin Platform

Learn how to use the Admin Platform learner directory to search learners, filter the list, invite learners, use selected mode, and manage learner status and categories.

This guide explains how to use the Learners page in the Admin Platform.

Use it when you want to:

  • find a learner quickly
  • filter the learner list
  • invite learners one by one or in bulk
  • pause or unpause learner access
  • remove pending invitations
  • add categories to a learner
  • open a learner profile for more details

Open The Learner List

To open the learner directory:

  1. Go to Management > Members > Learners.

This page gives admins a list view of learners across the platform.

Understand The Learner List Page

At the top of the page, OpenMirai shows:

  • the Learners title
  • the number of matching results
  • a Selected mode toggle
  • a learner type filter
  • a search box
  • an Invite button
  • a filter panel for categories

Below that, OpenMirai shows a learner table.

Use this page when you want to review learners in one place before opening a profile or taking action.

Search Learners

Use the search box to find a learner by name or email.

This is useful when:

  • you already know who you want to manage
  • the learner list is long
  • you want to open one learner profile quickly

Filter By Learner Type

Use the learner type filter to narrow the list.

The current options are:

  • All Learners
  • Active
  • Paused

Use this when you only want to review learners in a specific status group.

Filter By Category

Open the filter panel when you want to narrow the list by category.

This is helpful when your organization uses categories to group learners for reporting, operations, or communication.

Understand Learner Rows

Each learner row can show details such as:

  • learner name
  • email address
  • assigned categories
  • number of courses
  • number of products
  • an action menu

Some rows can look different based on learner status:

  • Paused rows appear muted so you can recognize restricted learners more easily.
  • Pending invitation rows can show the invited email address instead of a finished profile name.
  • Pending invitation rows do not show course or product counts in the main table.

Open A Learner Profile

Select a learner row to open that learner’s profile.

Use the profile page when you need more detail, such as course access, product access, or learner settings.

Some invitation-only rows may not open a profile yet. This usually means the learner does not have a full learner record to open yet.

Use The Row Action Menu

Each learner row includes an action menu.

Depending on the learner’s current status, available actions can include:

  • Add Categories
  • Pause Learner
  • Unpause Learner
  • Remove Invitation

Use these actions when you want to manage one learner at a time.

Add Categories To A Learner

Use Add Categories when you want to organize a learner into one or more groups.

When you select this action, OpenMirai opens a category selection dialog. After you apply the changes, the learner’s categories update in the list and in the learner profile.

Pause A Learner

Use Pause Learner when you need to temporarily restrict access.

OpenMirai asks for confirmation before pausing the learner. After the learner is paused, they cannot access their courses until they are unpaused again.

Unpause A Learner

If a learner is already paused, the action menu shows Unpause Learner.

Use this when you want to restore the learner’s access.

Remove A Pending Invitation

Use Remove Invitation when an invited learner should no longer be able to join using the current invitation.

OpenMirai asks for confirmation before removing it. If you need that person to join later, you will need to send a new invitation.

Turn On Selected Mode

Use the Selected toggle when you want to work with several learners at once.

In selected mode, you can:

  • select learners with checkboxes
  • open the bulk action menu
  • apply one action to multiple learners

This is useful when you need to update a group instead of managing learners one by one.

Use Bulk Learner Actions

When you select learners, OpenMirai can show bulk actions such as:

  • Pause
  • Unpause
  • Remove Invitation

The available bulk actions depend on the statuses of the learners you selected.

For example:

  • Pause appears when selected learners can still be paused
  • Unpause appears when selected learners are already paused
  • Remove Invitation appears when selected rows are pending invitations

When A Learner Cannot Be Selected

Some rows may not be usable in selected mode.

This can happen when a row represents an invitation state without a learner profile that can be managed directly.

If that happens, use the row action menu when available, or wait until the learner completes onboarding and appears as a normal learner record.

Invite Learners

Use the Invite button when you want to add new learners.

The invite dialog supports both bulk and manual entry. It also lets you prepare course or product enrollments before the invitation is sent.

Invite Learners With A CSV File

Inside the invite dialog, you can:

  • select Choose File to upload a CSV file
  • select View Format Guide to review the required format
  • use the official template to reduce formatting errors

After upload, OpenMirai adds the rows into the enrollment table inside the dialog.

You can then:

  • review each email
  • change whether the row is for a course or a product
  • edit the course or product ID
  • remove rows you do not want to import
  • clear the full list if you want to start over

Invite Learners Manually

You can also add invitations manually from the same dialog.

To do this:

  1. Enter one learner email address.
  2. Select Select Courses / Products.
  3. Choose the courses or digital products to add.
  4. Apply the selection.

OpenMirai then adds those entries to the table, where you can review or remove them before validation.

Validate The Invite List

After your rows are ready, select Validate CSV.

OpenMirai checks the list and shows:

  • total emails
  • successful rows
  • warnings
  • errors

You can expand each learner email to review every enrollment line in more detail.

This validation step helps you catch problems before invitations are sent.

Understand Validation Warnings And Errors

Validation results can include:

  • valid rows that are ready to import
  • warnings for rows that can still continue
  • blocking errors that must be fixed first

If errors are found, OpenMirai does not let you continue until you correct them.

Warnings can still allow the import to continue. For example, OpenMirai can warn you if a learner is already enrolled and skip that duplicate enrollment during import.

Confirm The Import

When the validation step is clear enough to continue, select Confirm Import.

OpenMirai then sends the invitations and applies any supported auto-enrollments from the validated rows.

Review Import Results

After the import finishes, OpenMirai shows a results summary, including:

  • total rows
  • successful rows
  • failed rows
  • auto-enrolled items

If any rows failed, the results table shows the row number, learner email, and reason.

Select Done to close the dialog and return to the learner list.

If No Learners Are Found

If the page shows no learners, one of these is usually true:

  • no learners have been added yet
  • your search does not match any learners
  • the current type filter or category filter is too narrow

Try clearing or changing your filters to broaden the results.
